CORPORATE AMERICA—A workplace AI system successfully saved employees twelve minutes of administrative work Monday before leadership scheduled forty-seven hours of meetings to discuss how the twelve minutes had been saved.

The implementation began with a kickoff, followed by a stakeholder alignment, a responsible-use workshop and a pre-mortem for a pilot that had already started accidentally.

Employees were then invited to an optional mandatory lunch-and-learn titled “Working Smarter, Together,” during which the AI generated a summary nobody read because everyone was attending another meeting.

Efficiency requires a steering committee

Executives say the technology will eliminate repetitive tasks and allow workers to focus on higher-value activities such as updating the AI governance tracker and explaining to legal where the training data came from.

A cross-functional task force created seven subcommittees covering ethics, adoption, security, culture, naming conventions, acceptable robot friendliness and whether the chatbot icon looked judgmental.

The system’s first assignment was to summarize a 90-minute meeting about shortening meetings. It produced three bullet points, one of which read, “Participants expressed interest in continued discussion.”

Managers praised the output and scheduled a follow-up to explore its implications.

Workers have begun using the AI to decline meetings automatically. The AI responds by finding an open slot, inviting twelve additional colleagues and adding “Quick Sync” to the title.

Productivity metrics show employees are now completing tasks 18 percent faster, allowing them to spend the recovered time documenting how AI helped complete the tasks faster.

The company expects full implementation next quarter, pending the final approval meeting, the meeting before the final approval meeting and a brief touch-base to determine who should attend both.
